This Privacy Policy explains how MyLedgerBook Ireland ("we", "us", "our") collects, uses, stores and protects your personal data when you use our website and service at myledgerbook.eu (the "Service"). We are committed to protecting your privacy and handling your data in line with the EU General Data Protection Regulation (GDPR) and Irish data-protection law.

2. The personal data we collect

Account data — when you register: your name, email address, and an encrypted password.

Business and financial data — information you enter to run your bookkeeping: your business details, VAT registration and tax-reference numbers, your customers' and suppliers' details, invoices, expenses, payments and related records.

Sensitive tax identifiers — where relevant to your entity type, your PPSN (Personal Public Service Number). We treat this as sensitive data: it is encrypted at rest, never shown in full in the interface, never written to logs, and never placed in web addresses.

Technical data — limited information created when you use the Service, such as your IP address, browser type and pages visited, used to keep the Service secure and working. We do not use third-party advertising or cross-site tracking analytics.

3. Why we use your data and our lawful basis

We do not sell your personal data, and we do not use it for advertising.

4. Where your data is stored

Your data is hosted on servers located in the European Union (Germany). We use the following sub-processors to run the Service:

5. How long we keep your data

We keep your financial and transactional records for at least six years, as required by Irish tax law, even where you close your account. Account data that is not subject to a legal retention requirement is deleted, or anonymised, on request or within a reasonable period after your account is closed.

6. How we protect your data

We use encryption in transit (HTTPS) and encryption at rest for sensitive identifiers such as PPSNs, access controls, and strict separation so that each customer can only ever access their own data. No system is perfectly secure, but we take appropriate technical and organisational measures to protect your information.
